Terms and Conditions – Sherpa Expedition and Trekking
Welcome to Sherpa Expedition and Trekking, a government-registered trekking organization in Nepal. Our mission is to provide exceptional services to our clients while contributing to the growth and enhancement of Nepal's tourism sector. We prioritize customer satisfaction and ensure every experience is memorable. To help you plan your adventure, we invite you to carefully review our Terms and Conditions before booking your trip with us.
GENERAL BOOKING CONDITIONS
Booking Requirements: To confirm your booking, we require a photocopy of your passport along with a 30% deposit of the total trip cost. Please note, this deposit is non-refundable under any circumstances.
Remaining Balance: The remaining balance must be paid upon your arrival in Kathmandu, before you commence your trek or tour.
CANCELLATION POLICY
Cancellation by Sherpa Expedition and Trekking
If we need to cancel the trip for any reason, we will notify you promptly and refund 100% of the deposit paid.
Cancellation by the Client
If you decide to cancel your trip, the following cancellation charges will apply based on the total trip cost:
1 Year or more before the trip: Non-refundable fee of 30% of the total trip cost.
6 Months before the trip: Non-refundable fee of 50% of the total trip cost.
25 Days before the trip: Non-refundable fee of 70% of the total trip cost.
15 Days before the trip: Non-refundable fee of 90% of the total trip cost.
7 Days or fewer before the trip: No refund; the full amount will be retained.
Important Note: The 30% deposit is non-refundable at all stages of the cancellation process. However, we recommend postponing your trip rather than canceling it outright. By doing so, you can use the remaining balance for a future adventure with us. If you choose to postpone, a small fee of USD 150 will be deducted from your deposit, and the remaining balance will be credited toward your next trip.

RISK AND LIABILITIES
Sherpa Expedition and Trekking operates under the strict rules and regulations set by Nepal’s tourism authorities. We are not responsible for changes, cancellations, or delays caused by circumstances beyond our control, including but not limited to:
Government restrictions
Natural disasters
Political instability
Flight delays or cancellations
Illness, accidents, or injury
Vehicle breakdowns
In such cases, any additional costs incurred due to these factors will be borne by the customer. We strongly recommend that all clients purchase comprehensive travel insurance to cover any unforeseen circumstances.
LAST MINUTE BOOKING
We accept last-minute bookings as close as 3 days before your scheduled departure. However, please note that last-minute bookings for trips to Tibet or Bhutan may not be possible due to additional travel restrictions.
POSTPONING THE TRIP
If you wish to postpone your trip, please notify us in writing at least 30 days before your scheduled departure. A USD 150 postponement fee will apply, and the remaining balance will be transferred to your new trip date.
TRIP CANCELLATION POLICY
To officially cancel your trip, please send us a written notice at least 14 days before the departure date. The 30% deposit is non-refundable. However, we recommend postponing your trip instead of canceling, as this will save you USD 150 and allow your payment to be transferred toward a future trip.
INCOMPLETE TOUR
Sherpa Expedition and Trekking is not responsible for any refunds in the event of an incomplete tour, trek, or expedition caused by circumstances on the client’s part.
UNEXPECTED CIRCUMSTANCES
If your trip is canceled or delayed due to unexpected circumstances such as natural disasters, political unrest, or acts of God, we will do our best to arrange an alternative trip for you. In such cases, your funds will not be lost, but we cannot guarantee that the alternative will be identical to your original trip.
PRICE CHANGES
We reserve the right to change trip prices due to factors beyond our control, such as currency fluctuations, government regulations, or inflation. We strive to keep prices fair and transparent, but these adjustments may be necessary under certain conditions. We will inform you of any price changes well in advance.
TRAVEL INSURANCE
Comprehensive travel insurance is mandatory for all participants on our trips. The insurance should cover:
Medical expenses
Personal accidents
Emergency evacuation
Trip cancellations
Loss or damage to equipment
Theft or damage to personal belongings
Natural disasters
We strongly advise purchasing insurance that includes emergency evacuation in case of unforeseen events.
FLIGHT DELAY/CANCELLATION
Flight delays and cancellations are common in remote regions, particularly in areas such as Everest, Annapurna, Dolpo, and Jumla. We recommend bringing extra funds for meals and accommodation in case of delays. Sherpa Expedition and Trekking will not be responsible for any additional costs arising from flight disruptions or delays.
DURING THE TOUR
If you engage in illegal activities during your trip and are expelled from Nepal, Sherpa Expedition and Trekking will not be responsible for any refunds or other costs associated with your expulsion.
CAUTION
These terms and conditions apply only if you book directly with Sherpa Expedition and Trekking. If you book your trip through an agent or third party, their terms and conditions will apply.
We strongly encourage you to read and understand these terms and conditions fully before making your booking. If you have any questions or require clarification, please don't hesitate to contact us.
